Headphone Hire Terms & Conditions

Conditions for Equipment Loans

These Terms & Conditions (“Agreement”) apply to all rentals of Soluna Society headphones and related equipment (“Equipment”). By hiring the Equipment, the Hirer agrees to the following: 

1. Definitions 

  • “Hirer”: the person or organisation hiring the Equipment. 

  • “Owner”: Soluna Society 

  • “Equipment”: includes all headphones, transmitters, chargers and accessories provided by the Owner. 

2. Booking & Payment 

  • A booking is confirmed once payment (full or deposit) is received. 

  • Final balance must be paid before collection/delivery unless otherwise agreed in writing. 

  • All payments are non-refundable unless cancellation is made at least 14 days prior to the event. 

3. Bond / Security Deposit 

  • A refundable bond may be required before collection/delivery. 

  • The bond will be returned within 7 business days after the safe return and inspection of the Equipment. 

  • Deductions will be made for any damages, missing items, late returns, or cleaning fees (see Sections 7–8). 

4. Collection, Delivery & Return 

  • Equipment can be collected from/delivered by Soluna Society at the agreed time and location. 

  • The Hirer is responsible for ensuring safe transport of Equipment. 

  • Equipment must be returned by the agreed date/time. Late returns may incur additional hire fees. 

5. Hirer’s Responsibilities 

  • The Hirer assumes full responsibility for the Equipment during the hire period. 

  • The Hirer must ensure Equipment is used only for its intended purpose. 

  • The Hirer must provide adequate supervision at events where Equipment is used. 

  • The Hirer is responsible for ensuring participants use Equipment safely and appropriately. 

6. Use of Equipment 

  • Equipment is for personal or event use only and must not be sub-hired, loaned, or sold. 

  • No alterations, modifications, or repairs may be made to the Equipment. 

  • Equipment must not be exposed to water, excessive heat, or environments likely to cause damage (e.g. sand, mud, rain without cover). 

  • The Hirer must ensure all Equipment is returned fully charged and in clean condition. 

7. Damage, Loss & Theft 

  • The Hirer is liable for the full replacement cost of any lost, stolen, or irreparably damaged Equipment. 

  • Repairs for minor damages (e.g. cracked casing, broken wires, damaged transmitters) will be charged at cost plus handling. 

  • If Equipment is returned in a condition requiring cleaning, a cleaning fee will apply. 

  • Replacement costs: Headphones $100 each, Transmitters $350 each, Chargers $100 each. 

8. Liability & Indemnity 

  • The Hirer acknowledges use of Equipment is at their own risk. 

  • The Owner is not liable for any injury, loss, or damage caused during the hire period. 

  • The Hirer indemnifies the Owner against any claims arising from the use of Equipment, including misuse by event participants. 

9. Cancellation Policy 

  • Cancellations made more than 14 days before the event: full refund (minus booking fee if applicable). 

  • Cancellations within 14 days: 50% refund. 

  • Cancellations within 7 days or no-show: no refund. 

10. Force Majeure 

  • The Owner will not be held responsible for failure to provide Equipment due to circumstances beyond their control (e.g. natural disasters, government restrictions, power outages). 

11. Agreement 

By confirming a booking and/or paying an invoice, the Hirer agrees to these Terms & Conditions.
