Conditions for Equipment Loans

Headphone & Mat Hire Terms & Conditions

These Terms & Conditions (“Agreement”) apply to all rentals of Soluna Society headphones, yoga / Pilates mats and related equipment (“Equipment”). By hiring the Equipment, the Hirer agrees to the following.

1. Definitions

Hirer” means the person or organisation hiring the Equipment.

Owner” means Soluna Society.

Equipment” includes all headphones, transmitters, chargers, yoga / Pilates mats and any related accessories provided by the Owner.

2. Booking & Payment

A booking is confirmed once payment (full or deposit) is received.

The final balance must be paid 7 days before the before the event unless otherwise agreed in writing.

All payments are non-refundable unless cancellation is made at least 14 days prior to the event. The deposit is non-refundable.

3. Bond / Security Deposit

A refundable bond may be required before collection or delivery.

The bond will be returned within 3 business days after safe return and inspection of the Equipment.

Deductions will be made for any damage, missing items, late returns or cleaning fees (see Sections 7–8).

4. Collection, Delivery & Return

Equipment can be collected from or delivered by Soluna Society at the agreed time and location.

The Hirer is responsible for ensuring safe transport of the Equipment.

Equipment must be returned by the agreed date and time. Late returns may incur additional hire fees.

Please keep original packaging and boxes for return of the equipment following your event. Any additional packaging will need to arranged at the Borrowers expense.

5. Hirer’s Responsibilities

The Hirer assumes full responsibility for the Equipment during the hire period.

The Hirer must ensure the Equipment is used only for its intended purpose.

The Hirer must provide adequate supervision at events where Equipment is used.

The Hirer is responsible for ensuring participants use all Equipment, including mats, safely and appropriately.

6. Use of Equipment

Equipment is for personal or event use only and must not be sub-hired, loaned or sold.

No alterations, modifications or repairs may be made to the Equipment.

Headphones and transmitters must not be exposed to water, excessive heat or environments likely to cause damage.

Yoga / Pilates mats must be used barefoot or with clean footwear only and must not be used outdoors unless agreed in writing. Our preferred cleaning method is using WOW Wipes.

The Hirer must ensure all Equipment is returned fully charged and in a clean, dry and hygienic condition.

7. Damage, Loss & Theft

The Hirer is liable for the full replacement cost of any lost, stolen or irreparably damaged Equipment.

Repairs for minor damage will be charged at cost plus handling.

If Equipment, including mats, is returned in a condition requiring additional cleaning or sanitation, a cleaning fee will apply.

Replacement costs are Headphones $100 each, Transmitters $350 each, Chargers $100 each, Yoga / Pilates mats $80 each.

8. Liability & Indemnity

The Hirer acknowledges that use of the Equipment is at their own risk.

The Owner is not liable for any injury, loss or damage caused during the hire period.

The Hirer indemnifies the Owner against any claims arising from the use of the Equipment, including misuse by event participants.

9. Cancellation Policy

Cancellations made more than 14 days before the event will receive a full refund minus any booking fee if applicable.

Cancellations within 14 days will receive a 50% refund.

Cancellations within 7 days or failure to attend will receive no refund.

10. Force Majeure

The Owner will not be held responsible for failure to provide Equipment due to circumstances beyond their control, including natural disasters, government restrictions or power outages.

11. Agreement

By confirming a booking and/or paying an invoice, the Hirer agrees to these Terms & Conditions.
